Resolve workflow validation errors

Use Kanopee's validation panel to find missing settings, stale HubSpot metadata, invalid delays, owner configuration problems and plan restrictions before publishing.

Where validation errors appear

The workflow editor validates the trigger and action graph when you review or publish.

A validation message is intended to point you to the part of the workflow that needs attention. Select or open the relevant node, correct the setting, save and review again.

Validation is different from a runtime failure: validation happens before the workflow is published, while runtime failures happen after an enrolled record is already being processed.

Common trigger validation problems

Common trigger issues include:

  • no HubSpot property selected for a property-change trigger
  • no HubSpot form selected for a form-submission trigger
  • the selected form is no longer present in Kanopee's synced metadata
  • a weekly schedule has no weekday
  • a scheduled trigger has incomplete frequency or timezone settings; or
  • a portal-specific stage/property value is no longer valid.

If the expected HubSpot value is missing, sync Kanopee with HubSpot first.

Common action validation problems

Examples include:

  • a Rotate owner action with no owners or team selected
  • a target HubSpot property that is read-only
  • a Delay for action with a total duration of zero
  • a Delay until date value that is not in the future
  • missing required Deal or Ticket pipeline/stage values; or
  • a Simple-mode process action whose underlying expansion is incomplete.

Open the affected action and complete or reselect the required fields.

Resolve missing metadata

Kanopee stores HubSpot IDs in workflow definitions.

If a form, property, owner, pipeline stage or other item changes in HubSpot, the workflow can continue to reference an older ID until you update it.

Run a HubSpot sync, reopen the workflow, and select the correct current value. Reconnect HubSpot if the relevant data still cannot be read and permissions may be outdated.

Resolve plan restrictions

Some validation messages reflect the current account plan rather than an invalid workflow structure.

On Free:

  • up to three workflows can be active
  • Scheduled triggers require Pro; and
  • Form submission triggers require Pro.

You can change the workflow to use supported Free features or upgrade the account to Pro.
