Why HubSpot properties, forms, owners or stages are missing
Use this checklist when a HubSpot property, form, owner, team, pipeline or stage does not appear in Kanopee.
Start with a HubSpot sync
If you created or changed something in HubSpot after Kanopee last synced, it may not yet appear in the workflow editor.
Go to Settings → HubSpot and run Sync Kanopee with HubSpot. Then return to the workflow and reopen the relevant field.
Sync is the first step for missing:
- properties and property options
- owners and teams
- forms
- Deal or Ticket pipelines and stages
- lists; and
- association labels.
Check the connected account
Kanopee supports multiple Kanopee accounts/companies, and each is connected to its own HubSpot portal.
If the item exists in HubSpot but never appears after syncing, confirm that:
- the correct Kanopee account is active
- Settings shows the intended HubSpot connection; and
- the property, form, owner or stage exists in that same portal.
This is especially useful to check if you manage more than one HubSpot portal.
Check permissions and whether the item is usable
If syncing succeeds but the item is still unavailable:
- confirm the HubSpot item is active rather than archived
- remember that calculated or read-only properties cannot be used by actions that write a value
- if forms cannot be read, reconnect HubSpot to refresh the app's permissions
- for pipelines and stages, make sure you are looking at the correct object and pipeline.
Older HubSpot connections can occasionally need to be reauthorized after Kanopee gains support for additional HubSpot data.
If an existing workflow now reports missing metadata
A sync refreshes what exists in HubSpot, but it does not silently change your workflow choices.
If a previously valid value was deleted, archived or replaced in HubSpot:
- sync Kanopee
- open the workflow
- find the validation message
- select the replacement HubSpot value; and
- save and publish the updated workflow.
This prevents Kanopee from guessing how a removed HubSpot setting should be replaced.
When to contact support
Contact support if the expected HubSpot item remains unavailable after you have:
- confirmed the correct portal
- completed a fresh sync
- confirmed the item is active in HubSpot; and
- reconnected HubSpot where permissions may be the issue.
Include the type of item that is missing and the Kanopee screen where you expected to select it. Do not send access tokens, passwords or other credentials.
