Sync Kanopee with HubSpot
Refresh the HubSpot configuration Kanopee uses in workflow dropdowns, validation and actions.
What the sync imports
Kanopee keeps a local copy of HubSpot configuration data so the workflow editor can show the right options without fetching everything from HubSpot each time.
A metadata sync currently refreshes:
- HubSpot account details
- owners and teams
- Contact, Company, Deal and Ticket properties and property options
- Deal and Ticket pipelines and stages
- HubSpot forms
- supported lists; and
- association definitions for supported CRM objects, notes and tasks.
The sync does not replace your HubSpot records or rewrite your workflows. It refreshes the configuration Kanopee uses to understand your portal.
When to sync
Run Sync Kanopee with HubSpot when a HubSpot option you expect to use does not appear in Kanopee.
Typical reasons include:
- a new custom property was added
- a property option changed
- a new owner or team was created
- a form was added
- a Deal or Ticket stage changed
- a static list was created; or
- an association label changed.
Kanopee performs an initial metadata sync during setup. After you make a new change in HubSpot, a manual sync is the quickest way to refresh the options available in the workflow editor.
Run a manual sync
Open Settings and use Sync Kanopee with HubSpot. The workflow editor can also expose a sync action when Kanopee detects that HubSpot metadata may need refreshing.
Wait for the sync to finish, then return to the workflow field you were configuring and check the dropdown again.
If a workflow already contains a HubSpot ID that has been deleted or changed, review that workflow after syncing. A sync cannot automatically guess which new property, owner, form or stage should replace a removed one.
If something is still missing
If an item is still missing after a successful sync:
- confirm that it still exists in the connected HubSpot portal
- check that you are in the correct Kanopee account and connected to the intended portal
- check whether the HubSpot item has been archived or is read-only
- for forms or capabilities added after the portal was first connected, reconnect HubSpot if permissions may be outdated.
A workflow can also retain an older HubSpot ID after the HubSpot configuration changes. If validation reports missing metadata, reselect the appropriate value after syncing.
