Getting started with Kanopee

Kanopee connects to HubSpot and lets you build, publish and run workflows for contacts, companies, deals and tickets.

What Kanopee does

Kanopee is a workflow automation product for HubSpot. A workflow starts with a trigger—for example, a new ticket, a property change, a form submission or a schedule—and then runs one or more actions.

Current workflows can be built around Contacts, Companies, Deals and Tickets. Depending on the workflow, Kanopee can update HubSpot properties, assign or rotate owners, create tasks and notes, create CRM records, work with associations, add or remove records from static lists, branch based on conditions, and wait using delays.

You can start with a blank workflow or install one of Kanopee's prebuilt templates and adapt it to your HubSpot account.

Set up your account

The normal setup journey is:

  1. Create or sign in to your Kanopee account.
  2. Create the Kanopee company you want to use.
  3. Connect the relevant HubSpot portal.
  4. Choose Free or Pro.
  5. Let Kanopee complete its initial HubSpot sync.
  6. Continue to the workflow dashboard.

During the sync, Kanopee imports configuration data such as HubSpot owners, teams, properties, deal and ticket pipelines, forms, lists and association definitions. This information is used in workflow dropdowns and validation.

If setup reaches the dashboard even though a sync warning appeared, you can run Sync Kanopee with HubSpot again from Settings.

Create or install your first workflow

From the dashboard, choose New workflow. You can either:

  • start from scratch by choosing Contact, Company, Deal or Ticket; or
  • browse and install a workflow template.

A workflow always begins with one trigger. Add actions underneath it, and use conditions, branches or delays where needed.

Templates can save setup time, but some values are specific to your HubSpot portal. A template may still need you to select a form, property, pipeline stage, owner pool, team or other HubSpot value before it can be published.

Save your draft, then publish

Use Save while you are building. Saving stores the editable draft, but it does not make draft changes live.

When you are ready, use Review & publish for a new workflow or Update for an already-published workflow. Kanopee validates the workflow first. If required settings are missing, resolve the validation messages and try again.

Publishing creates a workflow version that Kanopee can execute. New workflow runs use the published version, not unsaved or unpublished draft edits.
