Save, review and publish a workflow
Save keeps your editable draft; Review & publish or Update validates the workflow and creates the version used for new runs.
Save a draft
Use Save while you are building or editing a workflow.
Kanopee stores the editable draft separately from the published workflow version. This means you can save incomplete or in-progress changes without immediately changing the automation that new records use.
If the workflow has never been published, saving alone does not activate it.
Review before publishing
Choose Review & publish for a new workflow, or Update when publishing changes to an existing workflow.
The editor checks for issues such as:
- a required property or form not being selected
- missing HubSpot metadata
- invalid delays
- missing owner pools
- read-only HubSpot properties; and
- plan restrictions.
Resolve the validation panel before trying to publish again.
What publishing does
When publishing succeeds, Kanopee creates a version snapshot of the workflow definition.
New workflow runs reference that published version. The runtime does not execute whatever draft happens to be open in the editor.
This versioning is important because a record can continue through the same workflow definition it originally entered even if you later edit the draft.
Updating an active workflow
If an active workflow needs changes:
- edit the draft
- save
- review the validation results; and
- choose Update to publish the new version.
New enrollments then use the updated published version.
Existing in-flight runs—including runs currently waiting in a delay—continue using the version captured when they enrolled.
