Workflow statuses and turning workflows on or off
Understand drafts, active and inactive workflows, and what happens to new or delayed runs when you switch a workflow off.
What workflow statuses mean
Kanopee workflows move through lifecycle states as you build and manage them.
- Draft — the workflow is being configured and has not been activated through publishing.
- Active — a published version is available and the workflow is switched on for matching events or schedules.
- Inactive — the workflow is switched off and should not accept new matching runs.
- Deleted/archived — removed from the normal active list through the lifecycle operation used by the dashboard.
Draft content and published versions are stored separately, so an active workflow can also have newer unpublished draft changes.
What happens when you turn a workflow off
When you switch a workflow off, Kanopee deactivates the workflow's matching lifecycle so new events or schedules should not start new runs.
Scheduled/queued work associated with the workflow is also disabled through the lifecycle process.
If a run reaches a delayed resume after the workflow has been switched off, Kanopee skips that resumed run instead of continuing it.
Turning a workflow on
If Kanopee cannot switch a workflow on, open it in the editor and check the validation panel.
Common blockers include:
- no valid published version
- missing workflow settings
- missing or outdated HubSpot metadata; and
- Free-plan restrictions such as the active workflow limit or a Pro-only trigger.
Resolve the issue, publish if needed, then switch the workflow on.
Deleting from the dashboard
Use deletion when the workflow should no longer be part of your active workflow list.
Kanopee turns off the workflow's bindings, schedules and queued work as part of that lifecycle change.
If you only want to stop a workflow temporarily, turning it off is the safer option.
