Create a workflow from scratch
Start with a Contact, Company, Deal or Ticket workflow, choose the trigger, add actions, then save and publish when it is valid.
Choose the workflow object
From New workflow, choose the HubSpot object that the workflow should be built around:
- Contact
- Company
- Deal
- Ticket
The object you choose determines the record that enrolls in the workflow and influences which triggers, properties and actions are available.
Choose the object that best represents the event or record you want the automation to follow. For example, use a Ticket workflow for support-ticket automation and a Deal workflow for pipeline automation.
Configure the trigger
A workflow begins with a single trigger.
For a new blank workflow, configure the trigger so Kanopee knows when a record should enter. The available trigger types depend on the workflow object and your plan.
Examples include:
- a Contact, Company, Deal or Ticket being created
- a HubSpot property or stage changing
- a recurring schedule; and
- a HubSpot form submission.
Some trigger types require you to choose a specific property, stage, form or schedule before the workflow can be published.
Add actions
Use the workflow canvas to add actions after the trigger.
Actions can update HubSpot data, assign owners, create tasks or notes, create CRM records, work with associations or lists, branch based on conditions, and introduce delays.
Actions are connected in the workflow graph. Branch actions create multiple paths; each path can then contain its own actions.
Select a node to edit its configuration in the inspector.
Save while you build
Use Save regularly while configuring a workflow.
Kanopee keeps the draft separately from the published version. This lets you make changes without immediately affecting new workflow runs.
If the workflow is already active, saving edits alone does not update the live version. Use Update after reviewing validation when you are ready to publish the new version.
Review and publish
When the workflow is ready, choose Review & publish or Update.
Kanopee checks required fields, HubSpot metadata and plan restrictions before publishing. Resolve any messages shown in the validation panel.
Once published, new enrollments use that published version. If a record is already partway through an older published version, it continues against the version it entered.
