Form submission workflows
Start a Pro Contact workflow when a selected HubSpot form is submitted, with Kanopee using the contact's form-submission activity to identify the matching submission.
Where form submission triggers are available
Use a Contact workflow when the automation should start from a HubSpot form submission.
Form submission triggers are currently available on Kanopee Pro. A Free user can encounter templates or configuration related to this trigger, but publishing a form-submission workflow requires Pro.
Sync and choose the form
Before configuring the trigger, make sure Kanopee has recently synced with HubSpot.
In the trigger inspector:
- choose Form submission
- select the HubSpot form
- configure any additional workflow conditions; and
- save and review the workflow.
If the form is not listed, run Sync Kanopee with HubSpot. If forms still cannot be read after syncing, reconnecting HubSpot may be required to refresh permissions.
How Kanopee detects a submission
Kanopee's form trigger does not rely on a standalone "form submitted" event being delivered directly to the workflow.
Instead, when relevant contact conversion activity changes, Kanopee checks that contact's HubSpot form-submission history, looks for active Kanopee form-trigger bindings, and identifies matching submissions.
This happens behind the scenes. For users, the important requirements are that the correct form is selected, the workflow is published and active, and the HubSpot connection can read forms.
Historical submissions and duplicates
Form-submission workflows are intended to react to relevant submissions while the workflow is active.
A form someone submitted before the workflow was published should not be treated as a new submission just because the workflow now exists.
Kanopee also keeps deduplication information for detected conversion/submission events to avoid processing the same event repeatedly.
If a form workflow does not run
If a submission does not create an expected enrollment:
- confirm the workflow is published and active
- confirm it is a Contact workflow using Form submission
- verify the correct form is selected
- sync Kanopee with HubSpot
- if the form remains unavailable, reconnect HubSpot
- confirm the submission happened after the workflow was published.
If these checks pass and new submissions still do not enroll, contact support so the integration event can be investigated.
