Assign a specific owner

Add Assign owner when the rule is deterministic—for example, every matching record should be assigned to the same HubSpot owner.

Choose the target record and owner, and review the overwrite behaviour exposed by the action.

The selected owner comes from Kanopee's synced HubSpot owner metadata. If a recently added owner is missing, sync Kanopee with HubSpot.

Rotate between owners

Rotate owner distributes assignments rather than always selecting the same person.

Configure either the selected owner pool or supported team-based choice shown by the action. Kanopee maintains rotation state so successive matching assignments can move through the pool.

The action also supports configuration such as overwrite and fallback behaviour where exposed by the editor.

Configure fallback behaviour

Where the Rotate owner configuration exposes fallback settings, review them rather than relying on an implicit outcome.

A fallback owner can be useful when the selected team or route cannot resolve an assignable owner.

The exact available controls depend on the action configuration, so use the inspector values shown for that workflow rather than assuming every rotation has the same fallback.

If owners or teams change in HubSpot

Kanopee's owner and team choices come from synced HubSpot metadata.

After adding, removing or changing an owner or team in HubSpot:

1. sync Kanopee with HubSpot
2. reopen the owner action
3. confirm the intended owner pool or team; and
4. republish if the workflow configuration changed.

A workflow that references an owner no longer available in HubSpot can fail at runtime.

Common owner-action problems

Typical owner-action issues include:

• no owner selected
• no owner pool/team selected for rotation
• an owner that was removed or changed in HubSpot; or
• stale team membership.

Start with a HubSpot sync. Then reselect the intended owner configuration and publish the updated workflow.
