Scheduled workflows

Use a Pro Scheduled trigger to periodically find HubSpot records matching criteria on a recurring frequency.

When to use a Scheduled trigger

Scheduled workflows are useful for recurring processes such as stale-record follow-up, periodic account review or other checks that need to happen on a cadence.

The Scheduled trigger is currently available on Pro for Contact, Company, Deal and Ticket workflows.

Choose a frequency

Configure how often Kanopee should create scheduled occurrences.

Supported frequency patterns currently include:

  • every 15 minutes
  • hourly
  • daily
  • weekly; and
  • custom intervals.

Weekly schedules require the relevant weekday selection. Custom intervals must contain a valid interval configuration.

Set the correct timezone

Time-based automation depends on timezone.

Review the company timezone in Settings, especially if the intended schedule is expressed in local business time.

Changing timezone settings can affect when scheduled workflows and fixed date/time delays are interpreted, so review time-sensitive workflows after a timezone change.

Define which records should enroll

A schedule decides when Kanopee checks; criteria decide which records should enter.

Configure the trigger's conditions using supported property comparisons. Scheduled trigger conditions are evaluated against the record being searched.

This makes scheduled workflows suitable for logic such as "every day, find Deals whose selected properties currently meet these criteria."

If a scheduled workflow does not run

If expected scheduled enrollments do not appear:

  1. confirm the account is on Pro
  2. confirm the workflow is published and active
  3. review the frequency, time and timezone
  4. verify any weekday or custom interval settings
  5. confirm the enrollment criteria can match the intended HubSpot records.

If configuration looks correct and scheduled occurrences still fail, support may need to inspect the scheduler/runtime logs.
