Create HubSpot tasks and notes

Use workflow actions to create HubSpot tasks for follow-up work or notes for CRM context, with ownership, associations and dynamic property values where supported.

Create a HubSpot task

Add Create task when a workflow should create follow-up work in HubSpot.

The current action can configure task information such as:

  • title
  • notes/description
  • due timing in days
  • owner source or selected owner
  • status
  • priority; and
  • whether the task should be associated with the enrolled record.

The exact fields shown in the inspector are the supported options for the current implementation.

Choose the task owner

Review the task's owner setting before publishing.

If the owner you need is missing, sync Kanopee with HubSpot so the owner list is current.

If task ownership depends on the enrolled record or another owner source offered in the action, make sure that source can be resolved for the records expected to enter the workflow.

Associate the task with the relevant record

Enable/configure the record association provided by the Create task action when the task should be linked back to the workflow's record.

This is especially useful for follow-up workflows where the task should be visible from the Contact, Company, Deal or Ticket that caused the automation.

Association success depends on the record reference being resolvable at runtime.

Create a HubSpot note

Use Create note when the workflow needs to record context in HubSpot rather than create a task that someone must complete.

Provide the note body and configure the target/owner options exposed by the action. Kanopee creates the note and associates it with the resolved record or records.

The note body must be present for the action to be valid.

Use HubSpot property values in text

Where Kanopee shows the property-token picker, you can insert dynamic HubSpot values into supported text fields.

For example, a task title or description can include a Ticket name or another synced property.

If the relevant HubSpot property has no value on an enrolled record, that dynamic value can resolve as empty. If the property itself is missing from the picker, sync HubSpot metadata.
